The Three Checkpoints

Each meeting builds on the last to make sure every detail is ready to go by the time your wedding day arrives.

Vendor and Timeline Review

8-9 weeks before your wedding

This first checkpoint meeting sets the foundation for everything ahead.

We’ll make sure your vendor team, timing, and logistics all align before diving into the finer details later.

What we’ll cover:

  • Review your confirmed vendor team and their roles

  • Walk through your wedding day timeline, from getting ready to the end of the night

  • Talk through transportation, food & beverage, and any outdoor or rain-plan logistics

  • Flag any “TBD” items that still need decisions

  • Outline what you’ll complete before the next meeting

Ceremony and Formalities

6-7 weeks before your wedding

This meeting focuses on the people, the flow, and the moments that make your day personal.

We’ll talk through your ceremony details, rehearsal plans, and reception formalities so everyone knows where to be (and when).

What we’ll cover:

  • Review your Wedding Party, family, and VIPs

  • Walk through your ceremony details (processional order, vows, readings, etc.)

  • Discuss rehearsal timing and what to expect the day before

  • Confirm family photo list and who needs to be where after the ceremony

  • Outline reception formalities (introductions, toasts, first dances, etc.)

Final Wrap-Up

3-4 weeks before your wedding

This final meeting ties everything together before the big day.

We’ll review your final counts, layouts, and setup list so that every vendor, space, and detail is ready to go and ready for the big day.

What we’ll cover:

  • Confirm final guest counts, meal selections, and dietary needs

  • Walk through your setup and decor list for ceremony, cocktail hour, and reception

  • Discuss drop-off and pick-up plans for all personal and vendor items

  • Afterward, I’ll finalize your master timeline, share it with your vendor team and venue, and confirm any last-minute logistics

What is the Meeting Companion Doc?

This meeting includes its own Meeting Companion Doc, a Google Doc that’s just for you, broken down into three tabs: one for each meeting.

When you click the link, you’ll be prompted to make your own copy so you can use it however you’d like.

This docs is completely optional and doesn’t need to be shared or sent back — it’s simply a personal document for you to:

  • Review what we’ll cover in each meeting

  • Follow along or take notes during our chat

  • Keep your thoughts, questions, or reminders in one place

Use this doc if it helps you stay organized, or skip it if you prefer to keep things elsewhere.

What happens after each meeting?

Within one business day, I’ll update your Master Timeline to reflect everything we discussed.

I’ll also:

  • Highlight any “TBD” items that still need decisions

  • Send you a quick recap of those items so you know exactly what’s outstanding

  • Reach out to any vendors if timely questions came up — or make a note to include those follow-ups after our final meeting

By the end of this process, you’ll have a finalized, fully-aligned timeline that’s been reviewed by your full vendor team and venue.

FAQs

  • Plan for about 60-90 minutes, depending on your event’s complexity and how much we’ve already covered together.

  • To keep things focused and efficient, I recommend limiting attendance to the people directly involved in planning and decision-making. The more that attend the meeting, the longer it will take.

  • All meetings take place virtually via Zoom. That makes it easy for everyone to join from wherever they are, and ensures we have access to your planning documents as we talk through details.

  • Each meeting builds on the last, so it’s important to keep them separate to make sure no details get missed or rushed. If you’re having trouble with scheduling, let me know and we’ll find a way to make it work for you.

  • That’s totally normal. Those meetings are separate from ours, but I’ll make sure everything stays aligned so you don’t have to repeat yourself.

  • Life happens. If something comes up, just reach out and we’ll find another time that keeps us on track before the wedding.

  • Not necessarily. You’re always welcome to review your Meeting Companion Doc or gather questions ahead of time, but I’ll guide you through everything we need to cover.
